AI-Driven Workflow Optimization

The system automatically monitors incoming emails, detects inquiry-related requests using predefined business logic, and sends structured notifications to the relevant team within Microsoft Teams. Team members then interact with the Copilot agent directly inside Teams to review inquiry details, gather product information, and collaboratively draft professional responses before sending them to customers. This human-in-the-loop approach ensures faster response handling while maintaining accuracy, quality communication, and team collaboration.

The Challenge

Managing customer sales inquiries through email required continuous manual monitoring and coordination among team members. Sales representatives needed to regularly review incoming emails, identify inquiry-related requests, collect product information from multiple systems, and prepare customer responses. This manual approach resulted in delayed identification of important inquiries, time spent switching between email, internal systems, and collaboration tools, repetitive effort in preparing responses, and limited collaboration during response preparation. The organization required a streamlined solution that could automatically identify inquiries while enabling team collaboration and controlled response creation.

Our Solution

MagnusMinds implemented an intelligent inquiry handling workflow using Microsoft Power Automate, Microsoft Copilot Studio, and Microsoft Teams. Incoming emails are automatically monitored through Power Automate. The system identifies inquiry-related emails based on predefined business logic. When an inquiry is detected, a detailed notification is sent to the relevant team channel within Microsoft Teams. Team members review the inquiry directly inside Teams and interact with the Copilot agent to discuss the inquiry, retrieve required product information, and collaboratively prepare a professional response. The Copilot agent assists in drafting structured and context-aware replies. After review and approval, the finalized response is sent back to the customer.
